SENOIA RENTAL RENTAL TERMS AND CONDITIONS
Last Updated: 2025
A NOTE FROM SENOIA RENTAL
Welcome, and thank you for choosing Senoia Rental! We are excited to be a part of your next project, big or small. Whether you are tackling a weekend home improvement job, landscaping your yard, or managing a larger construction project, we are here to make sure you have the right tools and equipment to get the job done right.
To make sure everything goes smoothly for everyone involved, we have put together these Terms and Conditions. We know that legal documents can feel overwhelming, so we have done our best to write this one in plain, straightforward language that is easy to understand. That said, these terms are legally binding, and we want to make sure you have a chance to read through them carefully before you complete your rental.
By checking the acceptance box at checkout, you are confirming that you have read and understood everything in this document and that you agree to be bound by these terms. If you have any questions before you accept, please do not hesitate to reach out to us — we are always happy to help.
Thank you again for trusting Senoia Rental. Let's get to work!
SECTION 1 — LET'S DEFINE A FEW THINGS
Before we dive in, it helps to make sure we are all speaking the same language. Here are some key terms you will see throughout this document and what they mean.
1.1 "Senoia Rental," "we," "us," or "our" refers to Senoia Rental, including our owners, staff, employees, agents, and anyone else acting on our behalf.
1.2 "Customer," "you," or "your" refers to you — the person or business renting equipment from us. If you are renting on behalf of a company or organization, these terms apply to that entity as well, and by accepting, you confirm you have the authority to do so.
1.3 "Equipment" refers to any tool, machine, device, or item — along with all its parts, attachments, and accessories — that you rent from Senoia Rental. This includes everything that comes with it when you pick it up, such as blades, hoses, cords, safety guards, and any other components.
1.4 "Rental Period" refers to the time your rental is active. It starts the moment you take possession of the Equipment — whether you pick it up from our location or we deliver it to you — and it ends when the Equipment is returned to us and we have completed our return inspection.
1.5 "Rental Agreement" refers to the rental order, invoice, or contract we provide you at the time of your rental. These Terms and Conditions are incorporated into and form part of your Rental Agreement.
1.6 "Normal Wear and Tear" refers to the small, expected signs of use that naturally occur when equipment is used properly and for its intended purpose. We understand that tools get used — a little surface scuff here or there is perfectly normal. We have defined this more specifically in Section 5 so there is no confusion about what we consider acceptable versus what we consider damage.
1.7 "Damage" refers to anything beyond normal wear and tear — things like broken parts, structural harm, missing components, or issues caused by misuse, accidents, or neglect. Again, Section 5 goes into much more detail on this.
We want to be transparent about these definitions because we believe clear communication prevents misunderstandings. If anything here is unclear, just ask us before you sign.
SECTION 2 — TAKING CARE OF THE EQUIPMENT
We take great pride in maintaining our equipment so that every customer receives tools and machines that are clean, functional, and safe to use. In return, we ask that you take good care of the equipment while it is in your hands. Think of it like borrowing a neighbor's truck — you would fill it up with gas, keep it clean, and return it in the same shape you got it. We ask for the same consideration.
2.1 Your General Duty of Care. From the moment you take possession of the Equipment until the moment it is back in our hands, you are responsible for its care, safety, and condition. We ask that you treat our equipment with the same level of care you would give to your own valuable property — and at minimum, the level of care that any reasonable person would apply. This means keeping it protected, using it properly, and making sure it is not left in situations where it could be damaged, stolen, or exposed to the elements unnecessarily.
2.2 Follow the Manufacturer's Instructions. Every piece of equipment we rent comes with manufacturer guidelines for safe and proper operation. These guidelines exist for a reason — they protect you, the people around you, and the equipment itself. You agree to operate all Equipment strictly in accordance with those instructions. If you are not familiar with a particular piece of equipment, please ask us before you leave. We are happy to walk you through how it works, point out any quirks, and answer any questions you might have. Operator manuals are also available upon request at the time of pickup.
2.3 Inspect Before You Use. Before you fire anything up, please take a few minutes to look it over. Check for any visible damage, missing parts, or anything that seems off. If you notice anything that concerns you — a crack, a loose component, an unusual noise — please let us know right away and before you begin using the equipment. This is important because if damage is reported after use without prior notice, it becomes very difficult for us to determine when it occurred. Reporting issues upfront protects you just as much as it protects us.
2.4 Routine Care During Longer Rentals. If you are renting equipment for more than three (3) consecutive days, we ask that you perform some basic routine care to keep things running smoothly. This is not complicated — it is the kind of common-sense maintenance that keeps equipment healthy and prevents small issues from becoming big problems. Depending on the type of equipment, this may include:
(a) Checking and topping off fluid levels such as engine oil, hydraulic fluid, or coolant where applicable; (b) Keeping an eye on belts, hoses, and connections to make sure nothing has come loose; (c) Checking tire pressure on wheeled equipment to ensure safe and efficient operation; (d) Keeping air filters and ventilation areas clear of debris and buildup; (e) Applying lubrication to moving parts as directed by the manufacturer's guidelines.
If you are unsure what maintenance is needed for a specific piece of equipment, just ask us when you pick it up and we will be glad to explain. We want your rental experience to be smooth and hassle-free, and a little routine care goes a long way toward making that happen.
2.5 Do Not Use Damaged or Unsafe Equipment. If equipment becomes damaged, starts behaving unusually, or seems unsafe to operate at any point during your rental, please stop using it immediately. Do not try to push through or work around the issue. Contact us right away and we will help you figure out the best path forward — whether that means troubleshooting over the phone, arranging a swap, or something else. Your safety is our top priority, and continuing to use damaged or malfunctioning equipment can make a manageable situation much worse.
2.6 Store It Safely When Not in Use. When you are done for the day or the equipment is not in use, please store it somewhere secure, dry, and protected. This means keeping it out of the rain, away from extreme temperatures, and in a location where it cannot be easily stolen or accessed by unauthorized individuals — especially children. You are responsible for any damage that results from improper or unsafe storage during the rental period.
2.7 No Unauthorized Repairs. If something goes wrong with the equipment, please contact us before attempting any repairs on your own. We appreciate the initiative, but unauthorized repairs — even well-intentioned ones — can sometimes cause more harm than good, void manufacturer warranties, or create safety hazards. We will always work with you to find a solution quickly.
SECTION 3 — USING THE EQUIPMENT THE RIGHT WAY
We want you to get the most out of your rental, and that starts with using the equipment the way it was designed to be used. This section explains what we expect when it comes to proper use — and what we ask you to avoid.
3.1 Use It for What It Is Designed For. Every tool and machine we rent is built for specific tasks and applications. You agree to use the Equipment only for its intended purpose as designed by the manufacturer. For example, a tile saw should be used for cutting tile — not lumber. A pressure washer should be used for cleaning surfaces — not as a water source for other purposes. Using equipment outside of its intended application can damage the equipment, create safety hazards, and result in you being held financially responsible for any resulting harm.
3.2 Respect the Limits of the Equipment. All equipment has rated capacities and operational limits — maximum load weights, pressure thresholds, speed limits, and so on. These limits are not suggestions; they are engineering boundaries that exist to keep the equipment functioning safely and effectively. You agree to operate all Equipment within its designed capacity at all times. Overloading or overextending equipment is one of the most common causes of damage and injury, and any damage resulting from exceeding capacity limits will be your responsibility.
3.3 Make Sure the Right Person Is Operating It. Some equipment requires skill, training, or even a license to operate safely. You agree that only qualified, trained, and competent individuals will operate the Equipment during your rental period. If a particular piece of equipment requires a license or certification under federal, state, or local law — such as certain heavy machinery or powered industrial equipment — only individuals with valid, current credentials may operate it. You are responsible for verifying that anyone using the equipment during your rental is properly qualified to do so.
3.4 Please Do Not Modify the Equipment. We ask that you do not alter, modify, disassemble, or tamper with any Equipment in any way. This includes things like:
(a) Removing or disabling safety guards, shields, or protective covers — these are there for your protection; (b) Making changes to electrical wiring, hydraulic lines, or mechanical components; (c) Painting, welding, or physically altering any part of the equipment; (d) Attaching accessories, tools, or add-ons that were not provided or approved by Senoia Rental.
We understand that sometimes it might seem like a small modification would make a job easier, but unauthorized changes can compromise the safety and integrity of the equipment and may result in you being held fully liable for all resulting damage, repair costs, and any reduction in the equipment's value.
3.5 A Few Things We Ask You Not to Do. In addition to the above, the following are strictly prohibited during your rental period:
(a) Using the equipment in connection with any illegal activity; (b) Operating the equipment in a way that creates an unreasonable risk of harm to yourself, others, or surrounding property; (c) Lending, subleasing, or transferring the equipment to another person or party without our prior written consent — the rental is between you and Senoia Rental, and we need to know who is responsible for our equipment at all times; (d) Taking the equipment outside of the geographic area agreed upon at the time of rental without notifying us first; (e) Using the equipment in any competitive event, race, exhibition, or public demonstration without our prior written approval.
3.6 Follow All Applicable Laws and Regulations. You are responsible for knowing and complying with all federal, state, and local laws, regulations, and codes that apply to your use of the equipment. This includes safety regulations, environmental rules, noise ordinances, and any permitting requirements for your job site or project location. If you are unsure whether a permit is needed, we recommend checking with your local municipality before you begin.
3.7 We May Check In on the Equipment. Senoia Rental reserves the right to inspect rented Equipment at any reasonable time during the Rental Period, with reasonable advance notice to you. We do not anticipate needing to do this often, but we appreciate your cooperation if we do reach out. This helps us ensure our equipment is being used safely and is in good condition throughout the rental.
SECTION 4 — RETURNING THE EQUIPMENT
Returning equipment properly is one of the most important parts of the rental process — for both of us. This section walks you through everything you need to know about returning your rental so there are no surprises.
4.1 Return It on Time. Please return the Equipment on or before the return date and time listed in your Rental Agreement. Returns are accepted during our normal business hours. If you need to make special arrangements for an after-hours return, please contact us in advance and we will do our best to accommodate you. Returning equipment on time is not just a courtesy — it ensures that other customers who have reserved the equipment can get it when they need it.
4.2 Return It Clean. We send our equipment out clean, and we ask that you return it the same way. Before bringing equipment back, please take a few minutes to clean off any dirt, mud, grease, concrete, paint, or other debris. You do not need to detail it — just a reasonable cleaning effort that brings it back to a condition comparable to how you received it. If equipment is returned excessively dirty and requires significant cleaning on our end, we will charge a cleaning fee based on the time and materials required. We will always be transparent about what that fee is before applying it.
4.3 Refuel Before You Return. If the equipment runs on fuel and was provided to you with a full tank or at a specified fuel level, please refuel it to that same level before returning it. We know it can be easy to forget this step, but it helps us keep things moving efficiently. If equipment is returned with less fuel than it had at pickup, we will refuel it and charge you for the cost of the fuel plus a small refueling service fee. The service fee will be disclosed at the time of rental or upon request so there are no surprises.
4.4 Return Everything That Came With It. When you return the equipment, please make sure you bring back everything that was included when you picked it up — all attachments, accessories, blades, hoses, cords, safety guards, keys, and any other components. If something is missing, we will need to charge for the replacement cost of that item. We recommend doing a quick inventory check before you load up to return, just to make sure everything is accounted for.
4.5 Return It in Good Condition. Beyond cleaning and refueling, the equipment should be returned in the same overall condition it was in when you received it, allowing for normal wear and tear. If something happened during your rental — an accident, a mechanical issue, a broken part — please do not try to hide it. Just let us know. We are reasonable people, and we would much rather have an honest conversation about what happened than discover an issue after the fact. Transparency goes a long way.
4.6 What Happens If You Return It Late. We understand that projects do not always go according to plan, and sometimes you need a little more time. That is completely okay — just let us know as soon as possible. Here is what happens if equipment is returned after the scheduled return date and time:
(a) Additional rental charges will apply at the standard daily rental rate for each day or partial day beyond your scheduled return date; (b) A late return fee may also be assessed on top of the additional rental charges, depending on the circumstances; (c) If equipment is not returned within forty-eight (48) hours of the scheduled return date and we have not heard from you, we may treat the equipment as unreturned and hold you responsible for its full replacement value. We really do not want it to come to that, so please just give us a call; (d) In cases of prolonged non-return, Senoia Rental reserves the right to pursue all available legal remedies to recover the equipment and any associated costs.
4.7 Need More Time? Just Ask. If you realize you need to keep the equipment longer than originally planned, please contact us before your scheduled return date and time. We will do our best to accommodate an extension based on availability. Extensions are subject to whether the equipment has been reserved by another customer, and they must be confirmed with a Senoia Rental team member. Approved extensions will be charged at the applicable rental rate. Please do not simply keep the equipment past your return date without contacting us first — that is considered a late return and will be treated as such.
4.8 Returning Early. If you finish your project ahead of schedule and want to return the equipment early, we are happy to take it back. However, please be aware that prepaid rental fees are generally non-refundable for the unused portion of the rental period unless otherwise agreed upon in writing at the time of booking. If you think there is a chance you might finish early, it is worth asking about our early return policy when you book so you know what to expect.
4.9 The Return Inspection. When you bring the equipment back, we will conduct a return inspection. Whenever possible, we like to do this while you are present so we can walk through it together and address any questions on the spot. If damage or missing components are identified during the inspection, we will document them and let you know. Please be aware that your signature on the return receipt acknowledges that the equipment has been returned, but it does not prevent us from identifying additional issues during a more thorough inspection that may take place after you leave. If we discover something after you have gone, we will contact you promptly to discuss it.
SECTION 5 — RESPONSIBILITY FOR DAMAGE
We want to be upfront and fair about how we handle damage. Accidents happen, and we understand that. What matters most to us is clear communication and shared responsibility. This section explains exactly what you are responsible for and how we handle situations where equipment comes back in less-than-perfect condition.
5.1 You Are Responsible During the Rental Period. From the moment you take possession of the equipment to the moment it is back in our hands and inspected, you are responsible for it. This means that if the equipment is damaged, lost, or stolen during your rental period — regardless of how it happened — you are generally responsible for the cost of repair or replacement. We know that sounds serious, but it is the same standard that applies to most rental situations, and it is why we encourage you to take good care of the equipment and store it securely.
5.2 What We Consider Normal Wear and Tear. We are not trying to charge you for every tiny mark or scuff. Normal wear and tear is a natural part of using equipment, and we account for it. Here are some examples of what we consider to be normal wear and tear that you would not be charged for:
(a) Minor surface scuffs, light scratches, or small paint chips that do not affect the functionality or structural integrity of the equipment; (b) Gradual dulling of cutting edges, blades, or bits through normal, proper use; (c) Light soiling or surface dirt that comes off with standard cleaning; (d) Slight fading of painted or coated surfaces from normal outdoor exposure during the rental period.
Basically, if it is the kind of thing that happens to any tool that gets used regularly and it does not affect how the equipment works, we are not going to make a big deal out of it.
5.3 What We Consider Damage. Damage is anything that goes beyond normal wear and tear — things that affect the equipment's function, safety, appearance, or value in a meaningful way. Examples of damage include:
(a) Dents, bends, cracks, breaks, or any structural deformation to the frame, housing, or components; (b) Broken, missing, or non-functional parts, components, or accessories; (c) Engine, motor, or mechanical system damage resulting from misuse, neglect, running without fluids, or improper operation; (d) Damage caused by overloading, exceeding capacity limits, or using the equipment outside of its intended purpose; (e) Damage caused by exposure to rain, flooding, extreme temperatures, or improper storage; (f) Damage caused by a collision, impact, tip-over, or accident of any kind; (g) Theft, loss, or unexplained disappearance of the equipment or any of its components; (h) Damage resulting from unauthorized modifications, attempted repairs, or tampering.
If you are ever unsure whether something qualifies as normal wear and tear or damage, just ask us. We would rather have that conversation upfront than have it become a dispute later.
5.4 How We Handle Repair and Replacement Costs. If equipment is returned with damage, here is how we determine what you owe:
(a) If the equipment can be repaired, you will be responsible for the reasonable cost of that repair, as assessed by Senoia Rental or a qualified repair technician. We will always get a fair assessment and share the details with you; (b) If the equipment is damaged beyond economical repair, lost, or stolen, you will be responsible for the full replacement cost of the equipment at its current market value; (c) In addition to repair or replacement costs, you may also be responsible for any rental income lost by Senoia Rental during the period the equipment is out of service for repairs. This will be calculated at the standard daily rental rate for the equipment.
We will always communicate damage charges to you clearly and give you the opportunity to discuss them before finalizing anything.
5.5 How We Assess and Bill for Damage. After equipment is returned, we will conduct a thorough inspection. If damage is found, we will document it and notify you within a reasonable time. Charges will be applied to the payment method on file or invoiced to you directly. If you believe a damage charge is incorrect or unfair, you have five (5) business days from the date of notification to raise your concern in writing. We take disputes seriously and will review them carefully and fairly.
5.6 Our Liability to You. While we hold you responsible for the equipment during your rental, we also want to be clear about the limits of our own liability. Senoia Rental is not responsible for indirect, incidental, or consequential damages arising from your use of our equipment — things like lost business income, project delays, or third-party claims. Our total liability to you for any claim related to a rental will not exceed the total rental fees you paid for that specific rental period.
5.7 You Agree to Protect Us. By renting from us, you agree to indemnify and hold harmless Senoia Rental, our owners, employees, and agents from any claims, losses, or expenses — including legal fees — that arise from your use of the equipment, your violation of these Terms and Conditions, or any injury or property damage caused by the equipment while it is in your possession. This is a standard provision in rental agreements and is designed to protect both parties.
5.8 A Word About Personal Safety. We care about your safety. Please always wear appropriate personal protective equipment (PPE) when operating rented tools and machinery, and follow all safety guidelines provided by the manufacturer. Senoia Rental is not responsible for personal injury or property damage resulting from the use or misuse of rented equipment. If you are ever unsure how to safely operate a piece of equipment, please ask us before you use it.
SECTION 6 — RENTAL PERIODS AND EXTENSIONS
We want to make sure you have the equipment for as long as you need it, and we want the process of extending or adjusting your rental to be as easy as possible. Here is everything you need to know about how rental periods work.
6.1 When Your Rental Starts. Your rental period begins the moment you take physical possession of the equipment. If you pick it up from our location, it starts when you load it up and leave. If we deliver it to you, it starts upon delivery. The clock starts then, so please plan accordingly and make sure you are ready to use the equipment when you pick it up or receive it.
6.2 When Your Rental Ends. Your rental period ends when the equipment is back in our possession and we have completed the return inspection — or at the scheduled return date and time, whichever comes first. If you return the equipment before your scheduled return date, the rental period ends at the time of return, but please refer to Section 4.8 regarding refunds for unused rental time.
6.3 How We Charge for Rental Time. Rental rates are structured on a daily, weekly, or monthly basis, as specified in your Rental Agreement at the time of booking. If your rental runs into a partial day beyond a full rental period, that partial day may be charged at the applicable daily rate. We will always be upfront about how rates are calculated so you know exactly what to expect on your final bill. Rental rates are subject to change for future bookings, but once your reservation is confirmed, your quoted rate is locked in.
6.4 How to Request an Extension. Life happens, and projects sometimes take longer than expected. If you need more time with the equipment, we completely understand — just reach out to us before your scheduled return date and time. The earlier you let us know, the better, as it gives us time to check availability and make arrangements. Extensions are subject to the equipment not being reserved by another customer, and they must be confirmed by a Senoia Rental team member. We will do everything we can to accommodate your needs.
6.5 What Happens If You Do Not Return on Time Without Contacting Us. If your scheduled return date passes and we have not heard from you, your rental will automatically continue on a day-to-day basis at the applicable daily rental rate, plus any applicable late fees. We will attempt to reach you to check in. Please do not put yourself in this situation — a quick phone call or message is all it takes to keep things on track.
6.6 Planning Ahead. If you think there is a chance your project might run long, we recommend building a little buffer into your rental period when you book. It is often more cost-effective to reserve an extra day upfront than to extend at the last minute, especially during busy periods when equipment availability may be limited.
SECTION 7 — PAYMENT TERMS AND FEES
We believe in straightforward, transparent pricing with no hidden surprises. Here is a clear breakdown of how payment works at Senoia Rental.
7.1 Payment Is Due at Checkout. When you complete your rental booking, payment for the estimated rental period is due at the time of checkout. We accept all major credit cards, debit cards, and any other payment methods we may offer from time to time. If you are a business customer and would like to discuss setting up a credit account with Senoia Rental, please contact us to learn more about that option.
7.2 Security Deposit. For many rentals, we require a security deposit at the time of booking. The deposit amount is based on the type and value of the equipment being rented and will always be clearly disclosed to you before you confirm your reservation — no surprises. Think of the deposit as a safety net for both of us. It is held during the rental period and applied against any outstanding charges, damage costs, or fees at the end of your rental. Once everything checks out and your account is settled, any remaining deposit balance will be refunded to you promptly. We do not hold onto your money any longer than necessary.
7.3 Additional Charges You May Incur. By completing your rental, you authorize Senoia Rental to charge your payment method on file for any additional amounts that may be owed at the conclusion of your rental period. We will always communicate these charges to you before applying them whenever possible. Additional charges may include:
(a) Extra rental fees for extended or late returns beyond your scheduled return date; (b) Damage repair or equipment replacement costs as described in Section 5; (c) Cleaning fees if the equipment is returned in an excessively dirty condition; (d) Refueling charges and the associated service fee if equipment is returned with less fuel than at pickup; (e) Replacement costs for missing components, attachments, or accessories; (f) Late return fees as described in Section 4.6.
We will always do our best to itemize and explain any additional charges so you understand exactly what you are being billed for.
7.4 Late Payments. We understand that sometimes payments get delayed, but we do ask that all amounts owed be paid promptly when due. Any outstanding balances that are not paid on time will accrue interest at a rate of one and one-half percent (1.5%) per month, or the maximum rate permitted by applicable law, whichever is less. If we need to pursue collection of an overdue balance, you agree to cover the reasonable costs of that process, including any legal fees.
7.5 Questions About Your Bill. If you ever look at your bill and something does not seem right, please reach out to us right away. You have five (5) business days from the date a charge is applied to notify us in writing of any dispute. We will review the matter carefully and get back to you with a response. We want every customer to feel confident that they were charged fairly, and we take billing concerns seriously. Any undisputed portions of your bill remain due and payable while a dispute is being reviewed.
7.6 Pricing Transparency. We are committed to being upfront about all costs associated with your rental. Before you confirm your booking, we will clearly present the rental rate, any applicable fees, the deposit amount, and any optional add-ons such as the Damage Waiver described in Section 8. We encourage you to review your Rental Agreement carefully before accepting and to ask us about anything that is unclear.
SECTION 8 — INSURANCE AND DEPOSIT INFORMATION
We want to make sure you feel protected and informed when it comes to insurance and financial responsibility. Here is what you need to know.
8.1 Check Your Own Insurance Coverage. Before you rent, we strongly encourage you to check with your homeowner's, renter's, or business insurance provider to find out whether your existing policy covers the use of rented tools and equipment. Many policies do provide some level of coverage, and knowing what you are already covered for can give you peace of mind. Senoia Rental does not provide insurance coverage for customers' use of rented equipment, so understanding your own coverage is an important step.
8.2 Our Optional Damage Waiver. To give you an added layer of protection, Senoia Rental may offer an optional Damage Waiver for an additional fee at the time of checkout. If you choose to add the Damage Waiver to your rental, it can limit your financial responsibility in the event of accidental damage to the equipment during your rental period. Here are a few important things to understand about the Damage Waiver:
(a) It is completely optional — you are not required to purchase it; (b) It is not insurance — it is a waiver of certain damage claims by Senoia Rental; (c) It does not cover theft, loss, or intentional damage; (d) It does not cover damage resulting from misuse, negligence, or violations of these Terms and Conditions; (e) It does not cover damage caused by operating the equipment outside of its intended purpose or beyond its rated capacity.
If the Damage Waiver is available for your rental, the cost and coverage details will be clearly presented to you at checkout. We encourage you to consider it, especially for higher-value equipment or longer rental periods.
8.3 Your Security Deposit. As mentioned in Section 7.2, a security deposit may be required for your rental. The deposit is not a fee — it is a refundable hold that protects both you and Senoia Rental during the rental period. We will always tell you the deposit amount upfront, and we will return it to you promptly once the equipment is back, inspected, and your account is fully settled. If any charges are applied against your deposit, we will provide you with a clear breakdown of what was deducted and why.
8.4 We May Ask to See Your ID. For security purposes and to verify your identity, Senoia Rental reserves the right to request a valid, government-issued photo ID before releasing equipment to you. This is a standard practice in the rental industry and helps us protect both our customers and our business. We appreciate your understanding.
SECTION 9 — CANCELLATION POLICY
We understand that plans change. Here is our cancellation policy, designed to be as fair and flexible as possible while allowing us to manage our equipment availability responsibly.
9.1 Cancellations Made by You. If you need to cancel your reservation, here is how it works based on how much notice you give us:
(a) More than 48 hours before your scheduled rental start time — You will receive a full refund of any prepaid rental fees. No questions asked. We appreciate the advance notice as it gives us time to make the equipment available to other customers.
(b) Between 24 and 48 hours before your scheduled rental start time — A cancellation fee equal to one (1) day's rental rate may be applied. This helps offset the cost of holding the equipment for your reservation and turning away other potential renters during that window.
(c) Less than 24 hours before your scheduled rental start time, or a no-show — If you cancel with less than 24 hours' notice or simply do not show up for your scheduled rental without contacting us, you may forfeit any prepaid rental fees or be charged an amount equal to one (1) day's rental rate, whichever applies. We know this can feel frustrating in unexpected situations, so if something comes up suddenly, please call us as soon as possible — we will always try to work with you.
9.2 When We Need to Cancel. While it is rare, there are situations where Senoia Rental may need to cancel a reservation — for example, if a piece of equipment becomes unexpectedly unavailable due to mechanical failure, damage from a prior rental, or circumstances beyond our control. If this happens, we will contact you as soon as possible and make every effort to find you a comparable substitute. If we cannot provide a suitable alternative, you will receive a full refund of any prepaid fees. We sincerely apologize in advance if this ever happens and will do everything we can to minimize any inconvenience to you.
9.3 Changing Your Reservation. If you need to change your reservation — different dates, a different piece of equipment, or other adjustments — please contact us as early as possible. We will do our best to accommodate your request based on availability. Modifications are not guaranteed but we will always try our hardest to make it work for you.
9.4 How Refunds Are Processed. Approved refunds will be returned to the original payment method used at the time of booking. Please allow a reasonable processing time for refunds to appear, as processing times may vary depending on your bank or card issuer. If you have questions about the status of a refund, do not hesitate to reach out to us.
SECTION 10 — SAFETY FIRST
At Senoia Rental, safety is not just a legal requirement — it is something we genuinely care about. We want every customer to return home safely at the end of the day, and we want every rental to go smoothly without incident. This section outlines your safety responsibilities when using our equipment.
10.1 You Are Responsible for Safe Operation. Operating tools and heavy equipment carries inherent risks, and we want to make sure you are prepared. You agree to take all reasonable precautions to ensure the safe operation of rented Equipment and to protect the safety of yourself, other operators, bystanders, and any surrounding property. If you are ever unsure about how to safely operate a piece of equipment, please ask us before you leave our location — we are always happy to help.
10.2 Wear the Right Protective Gear. Personal protective equipment (PPE) is not optional when it comes to operating tools and machinery. Depending on the equipment you are using, this may include safety glasses or goggles, hearing protection, gloves, steel-toed boots, a hard hat, a dust mask or respirator, or other appropriate gear. Please follow the PPE recommendations provided by the manufacturer and any applicable safety regulations for your work environment. If you are unsure what PPE is appropriate, ask us and we will point you in the right direction.
10.3 Get the Permits You Need. Some projects require permits or approvals before work can begin — especially for excavation, demolition, or work near utilities. You are solely responsible for obtaining any permits, licenses, or approvals required by applicable law for your project. Senoia Rental is not responsible for any fines, penalties, or project delays resulting from a failure to obtain required permits.
10.4 Call Before You Dig. If your project involves any digging or excavation, please contact your local utility locating service (such as 811 in the United States) before you begin. Striking an underground utility line can be extremely dangerous and costly. This is your responsibility as the equipment operator.
10.5 If an Accident Happens. We hope it never does, but if an accident, injury, or property damage occurs involving our equipment, here is what we ask you to do:
(a) Stop using the equipment immediately if it is safe to do so; (b) Call emergency services (911) if anyone is injured or if there is an immediate safety threat; (c) Contact Senoia Rental as soon as reasonably possible — and no later than twenty-four (24) hours after the incident — to let us know what happened; (d) Do not move or alter the equipment or the scene any more than necessary until we have had a chance to assess the situation; (e) Cooperate fully with any investigation by Senoia Rental, our insurance representatives, or any relevant authorities.
We understand that accidents are stressful, and we will do our best to be supportive and helpful in the aftermath. The most important thing is that everyone is safe.
SECTION 11 — THE LEGAL STUFF
We have tried to keep these Terms and Conditions as readable as possible, but there are a few standard legal provisions that we are required to include. Here they are, explained as clearly as we can.
11.1 These Terms Are Governed by Georgia Law. These Terms and Conditions are governed by the laws of the State of Georgia. If there is ever a legal dispute between you and Senoia Rental, it will be handled in accordance with Georgia law, regardless of where you are located.
11.2 How We Handle Disputes. We sincerely hope we never have a dispute, but if one arises, here is how we would like to handle it. First, we ask that both parties make a genuine, good-faith effort to resolve the issue through direct communication. Most problems can be solved with a conversation. If we are unable to reach a resolution within thirty (30) days of the dispute being raised, either party may pursue the matter through the appropriate courts in the State of Georgia. We are committed to being fair and reasonable in any dispute resolution process.
11.3 This Is the Whole Agreement. These Terms and Conditions, together with your Rental Agreement and any other documents we provide at the time of rental, represent the complete and entire agreement between you and Senoia Rental. They replace any prior conversations, representations, or understandings — verbal or written — about the subject matter covered here.
11.4 If One Part Is Invalid, the Rest Still Applies. If any individual provision of these Terms and Conditions is found to be legally invalid or unenforceable, that provision will be removed or modified to the minimum extent necessary, and the rest of the Terms and Conditions will continue to apply in full.
11.5 Not Enforcing a Rule Does Not Mean We Waive It. If Senoia Rental does not enforce a particular provision of these Terms and Conditions in a specific situation, that does not mean we are giving up our right to enforce it in the future. Our rights under these Terms and Conditions remain fully intact unless we explicitly waive them in writing.
11.6 We May Update These Terms. Senoia Rental reserves the right to update or modify these Terms and Conditions from time to time. When we do, we will post the updated version on our website and note the revision date at the top of the document. Your continued use of our rental services after any update constitutes your acceptance of the revised Terms and Conditions. We encourage you to review this document periodically.
11.7 You Cannot Transfer Your Rental to Someone Else. Your rental agreement is personal to you. You may not assign, transfer, or delegate your rights or responsibilities under these Terms and Conditions to another person or entity without our prior written consent. Senoia Rental may transfer its rights and obligations without restriction.
11.8 Unexpected Events Beyond Our Control. Occasionally, circumstances arise that are completely outside of anyone's control — natural disasters, severe weather, government actions, supply chain disruptions, and similar events. Senoia Rental will not be held liable for any failure or delay in fulfilling our obligations under these Terms and Conditions if that failure or delay is caused by circumstances genuinely beyond our reasonable control. In such cases, we will communicate with you as quickly as possible and work together to find the best solution available.
